Dentrix, developed by Henry Schein One, is the dominant dental practice management platform in the United States. It handles patient records, scheduling, billing, insurance claims, treatment planning, and clinical charting. The vast majority of dental practices in Florida — particularly multi-doctor and multi-location practices — operate on either Dentrix G-series (the on-premise version) or Dentrix Ascend (the cloud-native version). Renia is built to work with both.

How Renia connects to Dentrix: the booking workflow from call to calendar

The integration between Renia and Dentrix works through a lightweight Windows application called the Renia Sync Agent. Here is exactly what happens when a patient calls:

  1. Patient calls your practice number. Renia answers on the first ring, introduces itself, and begins the clinical intake conversation in English or Spanish.
  2. Renia collects patient details. Name, date of birth, reason for visit, preferred provider, insurance carrier, and member ID. All of this is captured during a natural conversation — no forms, no hold music.
  3. Renia queries your Dentrix schedule. Through the Sync Agent, Renia reads your live Dentrix calendar, checking for open appointment slots that match the patient's requested provider, appointment type, and time preference — while respecting your configured provider hours, buffer times, and operatory blocks.
  4. Renia proposes the best available slot. The AI tells the patient: "Dr. Martinez has an opening this Thursday at 2:15pm for a new patient exam. Would that work for you?"
  5. Patient confirms. Renia writes the appointment — patient name, time, provider, visit type — directly into your Dentrix schedule. Your front desk team sees it appear in the schedule in real time, with all intake notes attached.

The Windows Sync Agent: outbound-only, local-network, HIPAA-compliant

The Renia Sync Agent is a small Windows application that installs on any workstation in your practice — typically the front desk computer or server that already runs Dentrix. It communicates outbound-only to Renia's cloud service over an encrypted TLS 1.3 connection. This means no inbound ports need to be opened on your firewall, and the Sync Agent never exposes your Dentrix database to the internet. It operates entirely on a pull model: Renia's cloud sends a query, the Sync Agent reads the response from your local Dentrix database, and sends back the relevant data. When an appointment is booked, the Sync Agent writes it directly into Dentrix using the same local database connection your front desk uses.

Installation takes approximately 30 minutes and is performed with remote assistance from the Renia onboarding team. The Sync Agent auto-updates in the background and requires no ongoing maintenance.

What Renia reads and writes in Dentrix

Reads (schedule query only): Provider schedules, appointment book blocks, operatory assignments, existing appointment times, provider hours, and configured buffer times. Renia never reads patient clinical records, treatment plans, financial data, or insurance claims.

Writes (on booking only): New appointment entry with patient name, date/time, provider assignment, appointment type, visit reason, and intake notes. All data written by Renia is clearly marked so your team can distinguish AI-booked appointments from manually entered ones.

No. During setup you configure provider hours, appointment type durations, buffer times between appointments, and operatory assignments. Renia only proposes time slots that fit within those constraints — it physically cannot double-book, and it never ignores your blocks.

Does the Sync Agent need to run on the Dentrix server?

No. It runs on any Windows workstation that has access to the Dentrix database — typically the front desk computer. It does not need to be on the server itself.

What happens if Dentrix is down or the Sync Agent loses connection?

If Dentrix is unreachable, Renia continues the patient call, collects all intake information, and holds the booking in a pending state. The moment the connection is restored, the appointment is written. The patient is told their appointment is confirmed and will receive a confirmation text/email once written.
